Role Overview

The Legal Secretary II performs secretarial and administrative functions for in-house counsel, paralegals, and legal leadership. Operating under general supervision, this role handles moderately complex administrative tasks, oversees file management systems, coordinates vendor invoices, and maintains strict confidentiality of sensitive legal records. The position may provide coaching or leadership to entry-level administrative staff while utilizing a working knowledge of mortgage operations to support the department.

Essential Functions

  • Perform advanced secretarial duties under general supervision to support in-house counsel and legal operations.
  • Maintain legal databases, centralized file systems, minute book records, and company policy documents.
  • Prepare legal documents, briefs, escalated borrower correspondence, and company management resolutions using established templates.
  • Schedule complex meetings, manage attorney calendars, coordinate travel, and handle project scheduling.
  • Oversee office supply inventory, track expenses, prepare vendor invoices, and manage payment processing.
  • Maintain confidentiality of proprietary client, loan, legal, and corporate information.
  • Handle moderately complex problems independently, escalating high-risk matters to paralegals or attorneys. Provide leadership, coaching, and peer mentoring to subordinate administrative staff.
  • Support cross-functional initiatives involving General Counsel, Licensing, Contracts, and Facilities.
  • Provide coverage and back-up support for our front lobby operations by greeting guests, issuing visitor badges, escorting visitors, inventory, supply ordering, breakroom cleaning and handling incoming phone inquiries.

Qualifications:

Knowledge Skills and Abilities

  • Solid working knowledge of legal secretarial duties, clerical procedures, and project scheduling.
  • Proficiency with Microsoft Office, file management software, and document tracking tools.
  • Practical understanding of mortgage lending, loan processing, banking, or real estate operations.
  • Strong organizational, problem-solving, and verbal and written communication skills.
  • Ability to work independently, exercise sound judgment, and maintain strict confidentiality.

Experience & Education

  • High school diploma or equivalent required; Associate degree or legal administrative training preferred.
  • 2-4 years of experience in a legal assistant, legal clerk, secretarial, or administrative support role required.
  • Prior experience in a mortgage, banking, real estate, or corporate legal environment strongly preferred.

Physical Requirements

  • Prolonged periods sitting or standing at a desk and working on a computer.
  • Occasional movement inside the office to access office machinery or filing cabinets.
  • Ability to lift up to 10 pounds occasionally.
