Legal Staff - Houston, TX. - Full Time

 

 

JOB DESCRIPTION SUMMARY

Legal operations/paralegal support for trading legal department, including budget, law firm and matter management, internal reporting, external filing and correspondence, workload management, knowledge management and ad-hoc support as required within the Legal department. 

 

KEY DUTIES and RESPONSIBILITIES

  • Accurate management and tracking of the company’s external law firms, including ensuring timely and thorough invoice review, adherence to budgets and established guidelines, maintenance of engagement terms and similar tasks. 
  • Corporate filings to ensure state-level filings and registrations are accurate and up to date, including management of third-party vendor support for filings and registrations. 
  • Management of annual budget process, including alignment with the company’s finance and planning departments and global trading legal.
  • Internal reporting on workload, key matters, disputes and outside counsel usage and spending.  Ensuring reporting is timely, accurate and aligned with global trading legal department requirements. 
  • Knowledge management support through administration of electronic filings and alignment with global trading legal standards for knowledge management
  • Manage contract authorization and execution processes
  • Review draft agreements for adherence to company required terms and conditions, under lawyer supervision
  • Ensure alignment between finance and legal department reporting on budget, including external law firm spend
  • Assist with design and formatting of legal department presentations
  • Cross office support as part of global paralegal network

  • Responds promptly and effectively to client inquiries and concerns to ensure high-quality service delivery.
  • Models timeliness and professionalism in communication with external parties in line with department expectations

 

JOB REQUIREMENTS

Education and Skills (Required, Preferred)

  • Bachelor of Arts/Science: Business and Mgmt. / Related Discipline.
  • Proficient verbal and written communication skills
  • Strong analytical skills.

Experience and Knowledge (Required, Preferred)

  • 5 years of experience within legal department or similar business environment.
  • Strong aptitude with MS Office suite, including Excel and PowerPoint.

Preferred

  • Experience in drafting legal documents
  • Experience in workload management and outside counsel management.

Abilities and Specific Requirements (Required, Preferred)

  • Ability to collaborate effectively with colleagues and internal clients
  • Demonstrate accountability and trustworthiness
  • Adheres to professional ethics.

Preferred

  • Proficiency in legal software
