The Legal & Executive Assistant to the CEO provides high-level executive support to the Chief Executive Officer while also providing administrative and legal support to the Company’s in-house Legal Department. This position requires exceptional organization, discretion, responsiveness, and judgment, with the ability to manage confidential and sensitive matters across both executive and legal functions.
Legal Department Support
- Provide administrative and legal support to the Company’s in-house Legal Department.
- Assist with the preparation, organization, execution, and maintenance of contracts, agreements, corporate records, and other legal documents.
- Maintain legal files, contract records, corporate governance documents, and other department records.
- Coordinate document execution, electronic signatures, and distribution of completed agreements.
- Assist with contract administration and tracking of key dates, renewals, and other contractual obligations.
- Support corporate governance activities, including preparation and maintenance of Board and committee materials, resolutions, minutes, and corporate records.
- Coordinate with outside counsel, business leaders, and other internal stakeholders regarding legal matters and documentation.
- Support legal due diligence and document management related to acquisitions, financings, and other corporate transactions.
- Assist with regulatory, compliance, licensing, and other legal department initiatives as needed.
- Handle confidential and attorney-client privileged information with appropriate discretion.
- Provide general administrative and project support to members of the Legal Department as needed.
Executive Support to the CEO
- Manage the CEO’s calendar, including scheduling and coordinating internal and external meetings.
- Coordinate travel arrangements, itineraries, and related logistics.
- Prepare and organize meeting materials, correspondence, presentations, and other documents as needed.
- Process expense reports and assist with other routine administrative matters.
- Coordinate meetings and communications with senior leaders, Board members, and external stakeholders.
- Assist with meeting logistics and track follow-up items as requested.
- Maintain organized files, records, and contact information.
- Assist with company meetings, events, and other executive-related activities.
- Support Wellesley office administrative needs including mail, office supplies, etc.
- Handle confidential and sensitive information with discretion.
- Provide general administrative support and assist with special projects as requested.
Job Requirements
- Bachelor’s degree, paralegal certificate, or equivalent combination of education and relevant experience preferred.
- 3–5+ years of experience in a legal assistant, executive assistant, or similar administrative support role.
- Experience working in or supporting an in-house legal department preferred.
- Experience providing administrative support to senior executives preferred.
- Familiarity with contracts, corporate records, legal documents, and legal terminology.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Strong judgment and demonstrated ability to handle confidential and sensitive information with discretion.
- Proactive, dependable, and able to work independently with appropriate direction.
- Strong interpersonal skills and ability to interact professionally with executives, Board members, employees, outside counsel, and external business partners.
- Proficiency in Microsoft Office, including Outlook, Word, PowerPoint, and Excel.
- Ability to adapt to changing priorities and work effectively in a fast-paced environment.
- Ability to work a hybrid schedule with a minimum of three (3) days per week in the office, with additional in-office presence as business needs require.
